The Biro plan — client companies for accountants

Biro is the plan for accountants and accounting agencies: for your own (parent) company it gives everything in the Kancelarija plan plus Accounting as part of the plan (no add-on and no add-on trial), and you run your clients’ companies under the same subscription — 1 € a month per company (0,5 € from the 21st company). The plan costs 30 € a month with annual billing (34 € with monthly), 3 users included, an additional seat 5 € as on the other plans. The plan is in beta.

An accountant whom a company invites to its team itself (the Accountant role) still works without any extra charge — Biro is not a requirement for that. Biro is for the case where the client has no programme of their own, or where your team in the client’s company should not use their seats.

Two ways for a client’s company to be “yours”

Before opening, the programme asks: will the client work in duplo themselves? If they will (issue invoices, view data, invite their own people) — they sign their company up on the pricing page and you link up with it. If not — you open it.

Slots

A slot is one place for a client or linked company. You choose the number of slots when buying the plan and at renewal (and when buying from the trial — companies are opened only once the payment is recorded). Mid-period you buy more slots on the Clients page: you pay only the pro rata share for the remaining days, the slots apply as soon as the payment is made, the expiry does not change. A reduction in the number is chosen at renewal, with no refund, and not below the number of companies you already run (including pending requests — a link request you sent holds a slot while it awaits a response, 14 days).

On the Clients page you see: purchased / in use, the list of companies with a label (your client company / client pays for itself), pending requests and the buttons for opening, linking, assigning the team, unlinking and taking over.

PIB lock

A client company is opened only with a PIB. If a company with that PIB already exists on duplo — in any status, even expired — opening is refused: the only way is linking (the client pays for itself) or a takeover (see below). The same lock applies later too: in a client company the PIB cannot be changed to the PIB of a company that exists on duplo. That way a company that cancels its subscription cannot be “reborn” under an agency, and one legal entity is always one company on duplo. When several companies carry the same PIB, requests by that PIB are refused with a referral to support.

A link request sent by the client (by the agency’s PIB) always gets the same message on failure — the programme does not reveal whether someone else’s company exists or what state it is in. A company that is itself on the Biro plan (an agency) cannot become a client or linked company of another agency.

The agency team by company

You assign members of your parent company to client companies with the Team button next to the company (or with the “assign the whole team” checkbox when opening). Only members of the parent company join a client company, exclusively as Accountant — no other role exists in it (the agency owner is the Super admin). In a linked company your people are also Accountants; the client cannot change their role, but can remove them or unlink the agency entirely (Team → “Accounting agency”).

The consequence for a client company you opened: the client’s sales documents are not issued in it (quotes, invoices, delivery notes) — only the agency owner can do that, and the client issues them wherever they already do anyway. Your team handles purchases, the bank, payroll, fixed assets, business trips and the books; the client’s sales invoices are entered with a manual journal entry (importing issued e-invoices from SEF is planned).

The settings of the client’s company (address, SEF/SEO key, numbering, logo) in a client company are entered by you as the authorised person; in a linked company the client enters them.

Taking over a company (the client stops working on their own)

If a client who paid for themselves no longer wants either access or a subscription, and you continue the books: from the Clients list you send “Take over” (or the client, on the Subscription page: “Hand the company over to the agency”). Both sides confirm — the client’s owner types the exact company name (both when sending the request themselves and when accepting the agency’s). It takes effect when the client’s paid period expires (immediately if it has already expired): their subscription is not renewed, everyone who is not your team loses access (including the previous owner), you become the Super admin, an open proforma invoice is cancelled, and the data, documents and history stay in the same company — with no duplication and no gap in the books. Until it takes effect the request can be cancelled; unlinking before it takes effect also cancels the scheduled takeover and gives the client back the subscription renewal. While the takeover is scheduled, the client’s subscription is neither renewed nor reactivated (the programme says so) — and if the paid period is nevertheless extended, the takeover moves to the new expiry date. The company must previously be linked with your agency, with no open proforma invoice.

The reverse direction (the client takes over a company you opened and buys their own plan) and a transfer to another agency are done through contact.

When the agency’s subscription expires

The client companies you opened follow your subscription: after expiry (and the 7-day grace period) they are read-only, like the parent company, until you renew. Links with companies that pay for themselves are then removed — your team leaves them, the client carries on alone. The parent company cannot be deleted while it has client or linked companies; you delete a client company like any other (Settings → Data), and a linked one by unlinking.

Switching to the Biro plan

You switch to Biro from Kancelarija (the “Change plan” section, a prorated charge for the remaining days) or by buying from the trial. If you already pay for Kancelarija with the Accounting add-on, contact us — we move you without any extra charge. Switching from Biro to a smaller plan is possible only once you have no client or linked companies.
