Job costing for made-to-order manufacturing Every machine knows what is in it
and what it cost.
Open a project for a machine or a job. Charge parts from stock, subcontractor services and steel from received invoices, attach the schematics and drawings to the project — the list of built-in parts and the cost price build themselves. On completion the finished product goes into stock, and the customer invoice is made from the project.

01 / How it works
From quote to invoice, one project
The project is the cost carrier: everything you build in or pay for that machine is charged to it, at the moment it happens — no side spreadsheets and no retyping.
- 01
Open a project
From a quote, proforma invoice or purchase order (Copy → Project) or by hand. It gets its number immediately, with the customer, model, serial number, deadline and estimated value. You choose the type at the start: a product goes into stock on completion, a service does not.
- 02
Charge what you build in
Parts from stock at the average cost at the moment they are built in; lines of a received invoice — painting, sandblasting, steel — with the “Charge to project” button on the invoice itself; small costs by hand. The parts list and the cost price grow with every charge.
- 03
Complete — the machine goes into stock
One click: the finished product enters stock at the accounting cost price, and the entry debit 120 / credit 630 is created automatically. A late subcontractor invoice? Charge it after completion and update the product value while it is unsold.
- 04
Invoice from the project
“Create invoice” fills the invoice with the finished product, its model and serial number (or with a service line). The sale takes the machine off stock at its own cost price, and the project immediately shows the amount invoiced and the margin.
02 / What you get
A machine with a file, not a folder
Everything you used to look for in emails, invoices and spreadsheets sits on one project — and stays there after the machine goes to the customer.
Two cost prices
Accounting — parts from stock, invoice lines and manual costs that are in the books; it goes into the value of the finished product. Internal — everything, including costs outside the books. Both against the estimated value from the quote and the amount invoiced.
Machine file
A PDF list of built-in parts with the supplier, invoice number, supplier code and date — without prices, for spare parts and servicing years later. Alongside it, the project costing with amounts, for the owner and the accountant.
Schematics and drawings with the machine
Attachments up to 50,0 MB per file: electrical and pneumatic schematics, drawings, manuals. PDFs and images open in the browser, CAD files (DXF, DWG, STEP) are downloaded. 100,0 MB per project, 250,0 MB per company.
Serial number and model
The serial number is unique within the company and assigned once it is known; the model is a product-type item in your item list. Both sit on the project and on the customer invoice, so the machine can later be found by a single number.
The books keep themselves
A charge from stock posts consumption (511), completion the finished product (debit 120 / credit 630), and the sale that machine’s cost of goods sold (631 / 120) — at the project’s cost price, not the model’s average. The accountant sees it immediately with the Accounting add-on.
Projects in progress as at a date
A work-in-progress report as at a chosen date — in the books and internal, per project — as the basis for the entry on account 110 at period end. The link also sits on the balance sheet.
03 / Who sees what
The technician charges, the prices stay with you
| Role | In a project |
|---|---|
| Super admin, Administrator, Member | everything: projects, charges from all three sources, attachments, completion, the invoice, prices and margin, both PDFs |
| Technician | opens a project, charges parts from stock and returns them, sees the list of built-in parts, attachments and the serial number — no amounts, no manual costs, no completion |
| Accountant | reads everything, changes nothing; the entries that arise from the project are reviewed and corrected in the Accounting add-on |
| After the add-on expires | everyone reads and downloads; new charges, attachments and completion wait for an active add-on |
Who it is for
- Manufacturers of machines and equipment to order — bagging machines, conveyors, dosing units, lines — where every machine is different.
- Service and installation businesses that need a cost price per job or project (the “service” type).
- Companies that build third-party services into their machines — cutting, welding, painting — and want to see them in the machine’s price, not only in the company’s costs.
The add-on is in beta: what exists works, and the remaining pieces arrive in turn. What does not work yet is listed below, in the questions.

What it costs
The Proizvodnja add-on is 10 € a month billed annually (12 € billed monthly), excluding VAT, only with the Kancelarija plan. The first 30 days are a trial, once per company; it is billed on the same proforma invoice as the subscription. No surcharges per project, charge or attachment.

05 / Questions
Frequently asked questions
- Do I have to build a bill of materials before I start?
- No. A made-to-order machine has no bill of materials in advance — the parts list is only known once the machine is finished. That is why a project in duplo records what you actually build in, at the moment you build it in, at that moment’s price. A bill of materials for quotes and requirements planning (“what else to order”) are planned, as a copy of a completed project.
- What if a subcontractor’s invoice arrives after the machine has been delivered?
- Charge it to the completed project — the item is marked “after completion” and enters the margin. While the product sits unsold in stock, the “Update product value” button also adjusts its value (the old entry is reversed, a new one is posted). If the machine has already been sold, the cost stays in the margin only.
- How do subcontractor services — painting, sandblasting, cutting — get in?
- From the received invoice, with the “Charge to project” button on the invoice itself: you pick the project and the lines, and the amount is the line value pro rata to the quantity (a foreign-currency invoice at its exchange rate). The invoice is already posted by its purpose, so the charge creates no new journal entry — it only enters the cost price. One line can be split across several projects; an invoice with a charged line cannot be edited or reversed until the charge is cancelled.
- Does the technician see prices?
- No. The technician charges parts from stock, sees the list of what was built in, the attachments and the serial number, but not the amounts — the cost price, margin, manual costs and the costing PDF are for the owner, administrator and member. The accountant reads everything and changes nothing.
- What gets posted, and do I need the Accounting add-on for it?
- Postings run in the background for every company: a charge from stock posts consumption (511 against inventory), completion posts the finished product (debit 120 / credit 630 at the accounting cost price), and a sale by an invoice from the project posts that machine’s cost of goods sold (631 / 120). Invoice lines and manual costs post nothing new — the invoice is already in the books. The Accounting add-on shows those entries to the accountant inside the programme; without it, the accountant gets the project costing PDF.
- Can I have a project for a job without a machine — installation or servicing?
- Yes, the “service” type: the same project, the same charges, cost price and margin; only completion puts nothing into stock, and the invoice from the project carries a service line instead of a product.
- What happens to projects when the add-on expires?
- Projects, attachments and PDFs remain available for viewing and download — they are your documents. Only changes are locked: new charges, attachments and completion require an active add-on.
What does not work yet
A bill of materials in advance and requirements planning (“what else to order”), working hours (labour enters as a manual cost as a single amount), an automatic work-in-progress entry on 31 December (the report gives the amount, the accountant posts it), later valuation of a charge that entered without a price, attachment folders and versions, service history per serial number. Beta: the pieces arrive in turn, and what exists works.
