Fixed assets

The Fixed assets module (Kancelarija plan) is a register of assets and low-value items with depreciation runs. The asset card or the register (PDF) are the document for the accountant; with the Accounting add-on every depreciation run is also posted automatically (depreciation expense / accumulated depreciation), and undoing a run reverses the journal entry.
Depreciation groups
When the module is opened for the first time, the list is filled with suggested groups (the rates follow tax groups I–V, plus „Low-value items (100%)“ and „Intangible assets“) — everything is editable, and you can add groups yourself. The rate from the group is copied to the asset when the group is selected and can be changed there if needed. A group used by an asset cannot be deleted.
Entering an asset
Manually: „+ New asset“ — inventory number (the programme suggests the next free one), name, acquisition date, group, cost and optionally a location. For existing assets (migrating from another programme) also enter the accumulated depreciation so far — depreciation in the programme continues from that state.
From a received invoice (SEF): on an approved received invoice click „Fixed asset“ — the form is filled with the supplier, the invoice number and the taxable amount. If there are several assets on the invoice, enter the value of that asset only and enter the others separately (recommendation: each piece = a separate asset with its own inventory number).
Use and depreciation
Depreciation runs from the 1st day of the month following the asset being put into use, straight-line by month, down to the non-depreciable (residual) amount if one is entered. An asset that is not yet in use is not depreciated — the „Put into use“ button activates it. Low-value items (the group with a 100% rate) are written off in one go, in full, when put into use.
You start a depreciation run whenever you want (monthly, quarterly, yearly): you choose the closing month, and the programme calculates from the end of the last run and records a depreciation transaction for every asset in use. You undo a wrong run — always only the last one, backwards in order.
Improvement, disposal and sale
- Improvement increases the cost from its own date — depreciation from that month runs on the higher base.
- Permanent disposal (write-off, sale): the programme calculates depreciation to the end of the month of disposal and writes off the whole value; the asset stays in the register marked „Disposed“. On a sale you issue an invoice to the customer as usual.
- Deleting is only for input errors — an asset that has entered a run is not deleted.
Printouts
- Asset register — all assets with cost, accumulated depreciation and net book value and a total.
- Inventory list — by location, with a field for the stocktake.
- Asset card — details, all transactions and values as at a date; this is the document for the accountant.
