Team and invitations

In the Team menu you invite colleagues to your company: you enter an email, choose a role and, if you wish, write a personal message (up to 1.000 characters — what the person will do, where the documentation is, whom to contact); the colleague receives an invitation by email with that message, by accepting it they join the company and see the same data (documents, customers, items). The message is also shown on the invitation page, only to the signed-in invitee, and remains in the team history. A colleague who did not have a duplo account until then enters their first and last name when accepting and confirms the terms of use — the same as they would enter when signing up normally.

  • The number of seats depends on the plan: Sveska 1, Knjiga 2, Kancelarija 3, Biro 3; on the Knjiga, Kancelarija and Biro plans each additional seat is 5 € a month. The team of an accounting agency you are linked with does not use your seats (see below).
  • When a colleague sends a document to a customer by email, the customer’s reply goes to that colleague (the Reply-To is the sender’s address) — and the document history shows who did what.
  • Signing in is the same for team members too: a code sent to the email, no passwords.

Roles

Super adminThe person who opened the company. Everything, including the subscription and managing administrators. Cannot be removed from the company.
AdministratorAll work with documents and settings, plus inviting and removing ordinary members. Does not touch other administrators or the subscription.
MemberCreates and downloads documents, manages customers and items. No access to the team, subscription or settings.
AccountantSees and downloads everything, but changes only what is their job: received invoices (approving, rejecting, importing line items), bank statements (matching payments), the VAT return and SEF VAT records, fixed assets, payroll, business trips and Accounting. Does not issue documents on behalf of the company.
Field technicianWork orders and delivery notes — creates, edits and issues them. Only views customers, items and stock levels. Does not see invoices, turnover or purchase prices; sees selling prices only if you set that up for them (see below).

An administrator can be invited, have their role changed or be removed only by a super admin. That way two administrators cannot throw each other out.

A role can be changed at any time — in the team list or on the member’s page, which also lists exactly what that role is allowed to do.

Why the field technician does not see prices

A field technician works on site and needs the work order, the material and the customer’s signature — not the price at which you bought the goods. That is why the Business overview is hidden from them, and in inventory they see quantities without average costs. They see customers and items because without them they could not even create a work order.

By default the field technician sees no selling prices at all. On the member’s page (Team → click on the field technician) the super admin or an administrator chooses “Selling prices they can see”: none, goods and material only (spare parts and components — the prices of services and your own products stay hidden) or all items. Purchase prices and margins stay hidden in every variant. The setting applies only while the person is a field technician and is recorded in the team history.

The restriction is by part of the programme, not by individual document: a field technician sees all the company’s work orders, not just their own.

An invitation holds a seat

An invitation takes up a seat in the plan as soon as you send it, not only when the colleague accepts it. If the plan includes 3 seats and there are two of you, you can send one invitation — while it is pending, the counter shows 3/3.

The reason is practical: so that three invited people do not race to see who signs up first, leaving two with an account but no company.

Cancelling an invitation frees the seat immediately. An invitation is valid for 7 days; an expired one does not hold a seat and is removed by itself.

Removing a member

A removed member loses access to the company’s data immediately and is notified by email. A reply to that message goes to the person who removed them.

What they did stays with the company: the documents they issued, attachments and signatures, as well as the trace in the document history (the name and email are kept as a record of that moment, so it still says who sent what). Their account continues to exist — they can open their own company or accept another company’s invitation.

Team history

At the bottom of the Team page there is a list of changes: who invited whom, who accepted an invitation, whose role was changed and who was removed — with the date and time. The same principle as the document history: it does not record who the user is today, but who did what and when.

Working in several companies

The same account can be a member of several companies — most often that is an accountant who manages several clients. When you are a member of more than one, at the top of the page next to the logo there is the company name with an arrow: click it to choose which one you are working in. The choice is remembered until the next change.

Each company counts you as one seat in its own plan.

Membership in someone else’s company does not stop you from opening your own: in My account there is a list of your companies and the “Open a new company” button. There you are the super admin, with your own trial and your own subscription. On the same page, in the Language section, you also choose the programme language — Serbian or English; the choice is saved with your account (it applies on other devices too, and the emails duplo sends you arrive in that language), and documents to customers still follow the language set on the document.

An accounting agency in the team (Biro)

If your accountant with the Biro plan links up with your company (a request by PIB — tax ID — which you accept or decline on the home page, the Overview; your company needs the Knjiga plan or higher), their team is shown in the Team in a separate “Accounting agency” block: they work as Accountant, do not use your seats, and Accounting is unlocked for them through the link (for your own view of the books you buy the add-on as before). The agency decides who from the agency works with you; you do not change their role, but you can remove an individual or unlink the agency entirely — the agency team then leaves immediately, and the data and journal entries stay with you.

A company the agency opened for a client (a client company) has only the Accountant role and only members of the agency’s parent company can join it. Details: The Biro plan — client companies.

When a member deletes their account

A member can delete their own user account (My account → Delete account). They then disappear from the team, and the Super admin is notified by email and gets a row in the team history. The documents, signatures and history they created stay with the company, with their name as a snapshot. The company’s Super admin cannot delete their own account without first deleting the company — see Data export and deletion.
